Because our services are designed for healthcare professionals and may involve Protected Health Information (“PHI”), we maintain compliance with the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”).

• Usage Data: Information about how you interact with the app.
• Protected Health Information (PHI): Clinical notes, transcripts, and other healthcare data that you enter or dictate.

We use the information we collect to provide, maintain, and improve the app, generate clinical notes and transcriptions at your request, and communicate with you about your account. We do not sell or share your information with advertisers. There is no data retained and we operate as a Zero Data Retention tool.

3. HIPAA Compliance

We are a HIPAA-compliant service provider. All PHI transmitted through NoteGenieAI is encrypted in transit and at rest. We maintain safeguards to protect the confidentiality, integrity, and availability of PHI.

4. Third-Party Service Providers

We work with trusted partners who have signed Business Associate Agreements (BAAs) with us:

• Deepgram: Provides secure transcription services.
• OpenAI: Provides secure note generation services.

Copies of executed BAAs are available upon request.

5. Data Sharing and Disclosure

We may disclose information only as permitted or required by law, including to you, to business associates under BAAs, or as required by legal process.

6. Data Security

All data is encrypted in transit and at rest. Access to PHI is restricted to authorized users only.

7. Your Rights

8. Data Retention

We retain PHI only as long as necessary to provide services or as required by law. You may request deletion of your data subject to HIPAA and legal requirements.
